ABOUT THE ROLE:

To continue advancing the impact we have across the communities we serve, Commonpoint is hiring a Worksite Operations Coordinator situated within the Youth Employment department. The Youth Employment Department comprises a number of different programs serving individuals predominantly from 14-24 years old.

SYEP/WLG provides New York City youth with summer employment and educational experiences that build on their individual strengths and incorporate youth development principles. These principles include engaging the talents and interests of youth, developing their skills and competencies, and providing positive adult role models. The individual hired as Worksite Operations Coordinator will play a key administrative and support role and be primarily responsible for managing worksite documentation, supporting employer relations, tracking youth placements, and maintaining communication with program stakeholders. In addition to regular on-site presence, this role requires flexibility to travel across the five boroughs to conduct and/or accompany the Manager of Employer Engagement on worksite visits as needed. This role reports directly to the Manager of Employer Engagement.

Across the agency, Coordinators are responsible for supporting effective program operations, ensuring compliance with funder and agency requirements, and helping to translate program goals into daily practice through collaboration, organization, and accountability.

ROLE RESPONSIBILITIES:

Administrative & Data Management:

Ensure timely and accurate collection, review, entry, and maintenance of all worksite-related paperwork into the YEPS system, including assurance, pre assessments, assessments, evaluations, permits, and applications.
Maintain an organized database of job placements, internship opportunities, and employer partners.
Track participant data, including worksite referrals and evaluations, and provide regular updates to program leadership.
Assist in hours tracking, data approval processes, and document compliance audits.
Proactively track outstanding, incomplete, or expiring worksite documentation and follow up with employer partners and internal staff to ensure requirements and deadlines are met.

Program and Employer Engagement Support:

Serve as a secondary liaison for employer engagement, job development and worksite coordination—maintaining regular communication with assigned employer partners throughout the program cycle, conducting site visits, providing technical assistance to worksite supervisors, and maintaining strong relationships year-round.
Support the onboarding and orientation of worksite supervisors, ensuring they understand program expectations, youth supervision responsibilities, required documentation, deadlines, and applicable SYEP/WLG guidelines.
Support the selection, placement, and matching process of interns to appropriate worksites based on interest and skill employer needs, program requirements, and available worksite capacity.
Collaborate with internal teams (Program Director, Assistant Directors, and Coordinators) to align youth placements with program goals and employer expectations.
Maintain regular communication with worksite supervisors to identify needs, troubleshoot concerns, and support successful participant experiences.

Monitoring & Evaluation:

Monitor participant performance and workplace conduct; provide guidance and referrals as necessary to ensure successful experiences.
Identify and respond to worksite or placement concerns, including attendance issues, performance concerns, supervisor challenges, placement mismatches, and other barriers to successful participation.
Document concerns and resolutions and escalate significant compliance, safety, personnel, or participant issues to appropriate program leadership in a timely manner.
Collect employer feedback on job performance, required skills, and training needs to inform continuous program improvement.
Manage and ensure all worksite engagements meet program and compliance standards.
Manage worksite monitor activities, including scheduling, assigning, and tracking required worksite visits and ensuring required monitoring paperwork is completed accurately and on time.
Support the training and day-to-day coordination of seasonal worksite monitors, as applicable.

Program Operations & Cross Functional Support:

Participate in planning and implementation activities related to participant placement, employer engagement, worksite monitoring, and other Youth Workforce initiatives.
Collaborate closely with program staff during high-volume enrollment, placement, and summer employment periods to ensure operational deadlines are met.
Participate in team meetings, employer events, orientations, training, and other program activities as required.
Perform other related duties that support the successful implementation of Youth Workforce programs.

QUALIFICATIONS & KEY ATTRIBUTES:

Associate’s or Bachelor’s degree preferred, or equivalent relevant work experience in workforce development, youth programs, or administrative coordination.
Strong organizational and administrative skills, with attention to detail.
Proficient in Google Suite (Docs, Sheets, Calendar); Jotform, experience with YEPS or similar data management systems is a plus.
Excellent communication and interpersonal skills, especially in working with youth and employers.
Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
Prior experience in youth employment programs or nonprofit settings is strongly preferred.
Ability to manage and reconcile large volumes of documentation and data while maintaining accuracy.
Strong interpersonal and relationship-management skills, including the ability to provide responsive support and technical assistance to employer partners.
Sound judgment and ability to identify, document, troubleshoot, and appropriately escalate program, participant, and worksite concerns
Flexibility to accommodate increased fieldwork and program demands during peak SYEP/WLG periods
