Position Summary:
The Events & Administrative Coordinator provides administrative, operational, and event support across Commonpoint’s Development division, which brings together fundraising and donor engagement, volunteerism, and Jewish heritage and cultural arts. The Coordinator works across these areas to support the planning and execution of events, programs, fundraising activities, and other team priorities.
A significant focus of the role is event and program planning and logistics – from advance planning and coordination through day-of execution and follow-up. This includes volunteer programs, donor cultivation and stewardship events, fundraising events, and cultural arts programs.
The Coordinator also supports the division’s day-to-day operations, including data and database management, donor administration, mailings and campaign execution, materials production, and other administrative needs. The Coordinator helps develop and maintain systems, tools, and processes that strengthen team organization and efficiency, while keeping projects, information, and logistics organized and moving forward across the division.
Key Responsibilities:
- Event & Program Logistics: Coordinates the planning and logistics for volunteer programs, donor cultivation and stewardship events, fundraising events, and cultural arts programs, including managing timelines, registration, vendors, purchasing and organizing materials and supplies, room setup, catering, day-of logistics, and other operational needs.
- Administrative & Team Support: Provides day-to-day administrative and logistical support across the Development team, including scheduling meetings as needed, preparing materials, organizing files, processing invoices and expenses, coordinating orders and deliveries, supporting team meetings and other convenings, and assisting with other administrative and logistical needs as they arise.
- Systems & Workflow Coordination: Helps develop, implement, and maintain tools, workflows, templates, and processes that strengthen team organization, coordination, and efficiency; helps track timelines, deadlines, and outstanding tasks and identifies opportunities to streamline routine administrative and operational work.
- Data & Information Management: Enters and updates donor, prospect, event, volunteer, and other Development information in the CRM and related systems; supports accurate recordkeeping, list management, and routine data cleanup; and maintains organized, up-to-date files and materials on the Development team’s shared drive.
- Campaign & Mailing Execution: Coordinates the logistical execution of fundraising campaigns and mailings, including preparing lists and materials, coordinating printing and mail houses, tracking production timelines, and ensuring materials are produced and distributed on schedule.
- Gift & Donor Administration: Supports gift processing and donor administration as needed, including entering gifts, preparing and mailing acknowledgment materials, maintaining donor records, and assisting with routine donor-related administrative needs.
Qualifications
- Bachelor’s degree or equivalent combination of education and relevant experience.
- 1–3 years of experience in administrative support, operations, event planning, project coordination, or a related area; nonprofit experience a plus.
- Excellent organizational and time-management skills, with strong attention to detail and the ability to manage multiple priorities and deadlines.
- Strong follow-through, problem-solving skills, and ability to take ownership of tasks from start to finish.
- Comfortable working with data and maintaining accurate records; experience with DonorPerfect or another CRM/database preferred.
- Proficiency with Google Workspace and/or Microsoft Office, including spreadsheets, shared drives, calendars, and other collaborative tools.
- Strong interpersonal and communication skills, with the ability to communicate clearly and professionally with colleagues, vendors, volunteers, donors, and other stakeholders.
- Ability to work both independently and collaboratively in a fast-paced, team-oriented environment.
- Willingness to take on a wide range of administrative and logistical tasks and provide hands-on support where needed.
- Flexibility to work occasional evenings and weekends for events and programs.
Work Environment:
This position is in-person, with local travel required.
Physical Demands:
May need to lift/carry up to 25 pounds of boxes.
Salary/Benefits:
Commonpoint offers compensation commensurate with skills and experience and includes a competitive benefits package. Salary for this position will be between $50,000-$58,000.
Location: Commonpoint Sam Field Center (58-20 Little Neck Parkway, Little Neck, 11362) or Central Queens (67-09 108th Street, Forest Hills 11375) or Midtown Manhattan (35 West 31st Street, 4th Floor, New York, NY 10001).
FLSA Status: Full-Time, Exempt.
Schedule: Monday-Friday, 9:00 am - 5:00 pm with some evenings and weekends required for events.
