STATEMENT OF THE JOB:
  • Department: Health & Wellness Department.
  • Reports To: Senior Director of Health & Wellness.
  • Employment Type: Part-Time (19 hours per week).
  • Location: Commonpoint - Central Queens (67-09 108th St., Forest Hills, NY).

Potential Work Shift Options:
  • Mondays, Tuesdays, Wednesdays, Thursdays from 9:00am-2:00pm.
  • Mondays, Wednesdays, Fridays from 2:00-7:00pm.
  • Mondays - Fridays from 7:00pm-9:30pm or 11:30pm (based on the rental schedule).
  • Saturdays and Sundays (8:00am - 12:00pm, 12:00-5:00pm, 5:00-11:00pm).

The Administrative Assistant
is a key role in the Health & Wellness Department at Central Queens. This individual is responsible for overseeing all administrative operations and ensuring a high standard of client service delivery. The role includes managing office systems, coordinating program registration, handling facility bookings, and supporting a smooth and efficient operation. 

You will be the first point of contact for many families and community members, so a professional, warm, and solution-oriented demeanor is essential. This role requires strong organizational, communication, and leadership skills, along with the ability to manage multiple priorities in a fast-paced environment. 

Key Responsibilities: 
Client Services & Registration:
  • Provide excellent customer service in person, by phone, and email.
  • Process registrations for Aquatics, Sports, Dance, Personal Training, and seasonal camps.
  • Assist with room and gym rental scheduling and payments.
  • Maintain participant records, attendance, payments, and refunds.
  • Set up program registrations in Salesforce and prepare attendance sheets.
Administrative & Marketing Support: 
  • Support daily front desk operations and maintain an organized environment.
  • Manage credits, refunds, and inventory of POS items (uniforms, swim caps, dance tickets).
  • Assist with special events and community outreach.
  • Help create flyers, update the website, and support social media posts.
Facility & Program Support: 
  • Assist with rental coordination and contract processing.
  • Provide administrative support to department leadership.
  • Track program enrollment and prepare basic reports.
  • Greet prospective members and give tours of the facility.
Qualifications: 
  • Associate's or Bachelor's degree preferred; 3+years  administrative experience.
  • Strong computer skills (Google Workspace, Salesforce/CRM platforms).
  • Excellent customer service, communication, and organizational abilities.
  • Familiarity with youth aquatics, sports, or dance programs is a plus.
  • CPR/First Aid certification or willingness to obtain.
Other Duties: Perform additional assignments as required to meet the evolving needs of the department. 

Starting Rate: $20.00 per hour
